HOW TO SETUP A PRINTER IN WINDOWS & MAC
SET UP STEPS FOR WINDOWS
Connect the Printer
Turn on the printer by plugging it into a power outlet and attach it to your computer via USB cable, or make sure that it is connected to the same Wi-Fi network if you have a wireless printer.
Open Settings
From the drop-down menu, click on Settings (gear icon) > Start.
Go to Devices
Open the Settings menu and select Devices.
Add Printer
Click on the Printers & Scanners tab on the left, and choose Add a printer or scanner
Wait for Detection
Windows will attempt to search for the available printers. When it finds your printer, then select yours from the list and finally click on the Add device option.
Install Drivers
If needs then windows downloads and install the necessary drivers. You might have to go through on-screen information to install it.
Test the Printer
After the installation, try to print a test page to know if the printer has been set up successfully. You can also do this if you go to your system preference → Printers & Scanners then your printer name and select Manage, then Print a test page.
Make Default Printer (If desired)
If this is the printer that you will mostly use, you can right-click on it in the Printers & Scanners and choose Set as default printer.
After following these steps, your printer should be completely set up and functional on Windows!
SET UP STEPS FOR MAC
Connect the Printer
Connect the printer to an outlet, make sure that it is plugged in and connected to your Mac via a USB cable (if this type of connection is used by the printer) or on the same Wi-Fi network if it is wireless.
Open System Settings
Choose the System Settings (preferably reached from the Apple icon in the top-left corner of your screen — or selecting System Preferences from that drop-down)
Go to Printers & Scanners
Scroll through the System Settings window until you locate Printers & Scanners.
Add Printer
Click the add (+) button on the left side of the Printers & Scanners window.
Select the Printer
A list of the printers available. Choose Your Printer Wireless Printers: Ensure that your printer is on the same Wi-Fi network as your Mac.
Install Printer Software
The first time you attempt to print, macOS will download and install any necessary drivers or printer software. Follow the instructions on the screen to finalize the installation.
Test the Printer
Test it Once the printer is added you can test it by clicking on the name of your printer and select Print Test Page or print a document to see if it’s working fine.
Make Default Printer (Not needed)
Of course, if this is your main printer you can also designate it as the default by choosing the printer from Printers & Scanners and checking the box to “Set as default”. Congratulations, your printer is now up and running on your Mac!
HOW TO GET YOUR PRINTER BACK ONLINE
1. Printer is Working and Connected to the Computer
- Make sure that the printer is turned on and is connected to either your computer using USB or to the same Wi-Fi network if it’s wireless.
- Refresh the connection by restarting the printer.
2. Set Printer as Default
- For Windows: Settings > Devices > Printers & Scanners, select your printer and click on Set as default.
- Mac: System settings > Printers & scanners, click on your printer and choose to make it the default
3. Check Printer Status
- For Windows: Devices > Printers & Scanners, right-click your printer in the list and select See what’s printing then check it isn’t set to Offline. If it is checked off on your printer, untick the printer offline.
- Mac: System Preferences > Printers & Scanners, click on the printer and make sure it is not going “offline” or to “pause”.
4. Restart Print Spooler (Windows)
- Type services msc in the Windows search field and press enter. msc, and press Enter.
- Scroll down to find Print Spooler, right-click it, and choose Restart.
5. Uninstall and Reinstall Printer Drivers— Update the Printer Drivers
- Go to the printer manufacturer’s website and download & install their latest drivers for your printer.
6. Clear Print Queue
- For Windows: Right-click on the printer under Printers & Scanners and choose See what’s printing. 2) Right-click each of the queued jobs, then click Cancel.
- Mac: Printer & Scanners, Your printer, Cancel the print jobs which are not printing
7. Reconnect the Printer
- Remove the USB for USB connection and put it again
- For wireless printers: Unplug the force and reconnect it to the force.
8. Printer — Run Printer Troubleshooter (for Windows only)
- To fix some common printer problems, for example, go to Settings > Update & Security> Troubleshoot select Printer, and run the troubleshooter to remove and redeem automated issues.
